Privacy Policy

Last updated: 19 October 2026

This policy explains what personal information AEREX collects when you visit aerexai.com or get in touch, what we do with it, and the choices you have. We keep it short and plain on purpose.

Who we are

AEREX ("we", "us") builds AI agents, workflow automations and websites for businesses. We are based in Ballycastle, Northern Ireland. We are the "data controller" for the information described here, which means we decide how and why it is used.

You can contact us about anything in this policy at daragh@aerexai.com.

What we collect

Information you give us. When you use the contact form or email or call us, we collect what you choose to share: your name, email address, phone number, company name, the services you are interested in, your rough budget, and the message you write.

The planner chat. If you use the "Describe the problem" chat on our home page, the messages you type are sent to Anthropic, the company that provides the Claude AI model, so it can write a reply. We don't keep a copy of the conversation on our servers. If you click "Send this to AEREX", a short summary is carried over to our contact form in your browser, and it only reaches us if you choose to send the form.

Information collected automatically. When you visit the site, the companies that host it and deliver its fonts, icons and code (listed below) can see technical information such as your IP address, browser type and the pages requested. We use Plausible Analytics to count visits in a privacy-friendly way: it uses no cookies, does not track you across other websites, and does not collect personal information. It tells us things like which pages are popular, roughly which country visitors are in, and whether people use the planner chat or contact form. We do not run advertising trackers.

How we use it, and why

  • To reply to your enquiry and discuss a possible project. We do this because you asked us to, and to take steps before entering a contract with you.
  • To deliver and manage work for clients. This is necessary to perform our contract with you.
  • To keep the site secure and working. This is in our legitimate interest in running a safe, reliable website.
  • To meet legal and accounting obligations.

We do not sell your information, and we do not use it for automated decisions that significantly affect you. We will only send you marketing emails if you have asked us to, and every one will include a way to unsubscribe.

Who we share it with

We only share information with services that help us run the business, and only what they need:

  • Website hosting: Netlify, which serves this website.
  • Contact form delivery: Formspree, which passes the form you submit to our email.
  • Email: GoDaddy, which provides our email service.
  • Website statistics: Plausible Analytics (EU-based, cookieless), which counts visits without identifying you.
  • AI planner chat: Anthropic, which provides the Claude model that replies to chat messages. Anthropic processes what you type in the chat under its commercial terms.
  • Fonts, icons and site code: Fontshare (fonts), unpkg and cdnjs (code libraries) and the Simple Icons network (logos). When your browser loads these files, those providers receive your IP address.

We may also share information where the law requires it, for example with a regulator or in response to a valid legal request.

Transfers outside the UK

Some of the providers above are based outside the UK, including in the United States. Where your information is transferred abroad, we rely on appropriate safeguards, such as the UK's approved data bridge arrangements or standard contractual clauses.

How long we keep it

  • Enquiries that do not lead to a project: up to 24 months after our last contact, then deleted.
  • Client records: for as long as we work together, and afterwards for as long as the law requires, for example six years for accounting records.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct anything that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict or stop using your information
  • ask for your information in a portable format
  • withdraw your consent at any time, where we rely on it

To use any of these rights, email daragh@aerexai.com. We aim to reply within one month.

Cookies

Our site does not set cookies of its own. You can read the details on our Cookie Policy.

Security

We take reasonable steps to protect your information, including using secure (HTTPS) connections and limiting who can access it. No method of sending information over the internet is completely secure, so we cannot guarantee absolute security.

Children

This site is aimed at businesses and is not intended for children. We do not knowingly collect information from anyone under 16.

Changes to this policy

If we change what we collect or how we use it, we will update this page and the date at the top.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
